Using Sensors to Measure Space Occupancy & Space Utilization

Do you really know if your conference rooms are booked and full, or if they’re reserved, but rarely used? Or maybe you’re paying for maintenance in spaces that are grossly underutilized. How can you get real time usage data to make the best decisions possible?

If you’re collecting space and utilization data manually and periodically, it may be time to consider how sensors can play a key role in getting you more accurate, reliable data instantly. Learn how FM leaders are using sensor data to improve office space occupancy and utilization, increase workforce productivity and reduce CRE costs. Bring your most challenging questions about how to deploy sensors, integrate them with your current data collection processes and how to roll them out to employees and teammates to get the best understanding of your workplace.

Failing to plan, is planning to fail.  Power outages cost U.S. businesses and society more than $100 billion per year and inconvenience millions of people.  Today’s connected society cannot go without reliable electricity.  Many facilities are prepared with dedicated stand-by generators to carry them through an outage.  What about those who don’t have ability to have a redundant power supply?  Many people are unaware that there are plenty of rental solutions that can have their facilities restored to full functionality.  Decisions need to be made to determine the need for business continuity vs the cost of a temporary solution. This presentation will cover four steps to restore power with a rental solution:

  • Electrical Load
  • Facility Logistics
  • Supplier Requirements
  • Emergency Personnel and Testing

How can an FM be a leader when it comes to managing the "employee experience" in a future where all space is shared? A future in which companies such as We Work both manage the company's own space; then extends the experience for mobile workers by making available a low-cost global network of similar space and experiences. At the same time, there will be continuous need to manage and control the costs of existing building stock. This presentation provides a roadmap covering the evolution of the move to Total Flexible Space, the evolving role of the FM and the importance of the new generation of IWMS in managing this journey.

Are you ready for Day 1? Get the data you need for successful building operations before occupancy.

It’s Day 1 in your new building. Are you ready? If you’re like most FMs, this is when you have to figure out how to gather all the data you need to effectively run the building. This is a Herculean task that typically takes years, results in excessive costs, and distracts facilities teams from more strategic work.

Invicara helps building owners do things differently. Take UCSF, where all the information gathered in design and construction was published straight into their CMMS in record time. Day 1 for their facilities team looked very different; they even knew where ladders were needed and what light bulbs to order. Or Hensel Phelps’ work with San Francisco International airport, where building data was checked at each project milestone, dramatically reducing the cost and effort to deliver complete, reliable information.

There’s a strong business case for accurate building data. Are you ready for Day 1?

Marty Cobot
Vice President, Invicara

Technological advances and cultural shifts in the workplace continue to disrupt how and where work is conducted, and unfortunately, traditional IWMS solutions are ill-equipped to deal with the diversity and velocity of change. Companies now have the opportunity to utilize the same disruptive technologies to better align their physical footprint with both company strategy and employee needs, while driving down costs. Learn how Tango’s next generation IWMS platform leverages disruptive technologies like artificial intelligence and machine learning to fulfill the often – and almost always – elusive promise of IWMS and even progressive point solutions. During this presentation, we will dive into multiple use cases and explore the capabilities of these new technologies in functional IWMS areas where this disruptive technology is delivering a truly Next Generation IWMS platform.

Every year in the US, $30 billion in electricity is wasted on lights left on in empty rooms. While energy efficient LEDs may reduce the average rate of energy waste, there is still no substitute for ensuring that lights are switched off when not in use.

Lighting automation solutions can turn the lights off as needed. However, installing traditional motion sensors in existing buildings requires time consuming and expensive renovations, limiting their adoption (only 15% of commercial buildings have motion sensors). InstaHub's affordable "snap-on" motion sensor installs over existing light switches, providing instant automation with NO rewiring or renovation required.

With InstaHub, a facility manager can save more than $10k/building on electricity while offsetting tons of CO2 emissions every year, all without the overhead of replacing existing lighting infrastructure. Improving your bottom-line, your workplace, and the environment shouldn’t have to be difficult.

Improving the employee experience through space management metrics

Optimizing your workplace operations is critical for both bottom-line success and employee productivity. We know that real estate is expensive – the annual cost of a single workspace hovers between $8K-$14K – and that 30-40% of these spaces are underutilized on a typical workday. The ongoing challenge for facility and real estate professionals is twofold: to provide demanding employees with better ways to request and reserve spaces and resources, and to simultaneously track utilization metrics to inform future space optimization decisions. To do this, companies need a frictionless, efficient workspace optimization platform that simplifies scheduling and captures room reservation data through a variety of online and on-location points of access such as room signs, calendars and mobile apps. We’ll explore the possibilities of how this works through case studies, including how a multinational healthcare and pharmaceutical corporation changed employee behavior, maximized real estate utilization and boosted productivity.

The process of benchmarking a building provides a facility manger with the means to truly understand how that building is performing, and based on that, how to create proactive solutions that can eliminate the “run to fail” standard that some FM’s live by.

This session will provide a closer look at how to use the BREEAM Performance Measurement to determine how your building is doing and how you can use that analysis to create actionable performance improvement opportunities that will reduce environmental impact, improve health and wellbeing for your occupants and reduce costs and increase operational efficiency.

Smart Buildings – even smarter through BIM

In this session, Sean Flaherty (Chief Strategy Officer at Nemetscheck Group) will share his view on the synergies that can be achieved by taking an end-to-end and integrated view across the design-construct-manage phases in the lifecycle of a building.

Eric Van Bael (VP Global Sales at MCS Solutions) will expand on this with practical examples of how BIM IoT (Internet of Things) technology can take your facility management operations to the next level by lowering your costs and increasing your satisfaction.

Life Cycle Approach to Facility Asset Data Management

This session will provide an approach for effectively capturing and maintaining facility asset data and information over time. This begins by defining facility assets at the earliest stage of their life-cycle – the engineering design phase of a project, and then illustrate how data and information for an asset can be accumulated and maintained over the course of a project’s execution (including data from BIM)– for example procurement, receiving, installation, testing, commissioning, and hand over, and then continue to be maintained during the asset’s operation as corrective work orders, preventative maintenance, and as subsequent projects occur that impact the asset’s status, location, and other attributes.
